Getting Started
System Build
- Go to pfmsinv.uk
- Enter an admin password. (This is the password for the admin account with unlimited access).
- When you have entered your admin password, use Create Password.
- Build the system by logging in and following the instructions
Navigation
Build the system by navigating to the URL. https://pfmsinv.uk/audit_log.php
Click the pages in the following order to build the system:
- User Management
- Product Management
- Inventory Management
- New Order
- Inventory
- Orders
- Dashboard
After following these steps your system is fully built.
Dashboard
The dashboard shows a brief overview of item deliveries and stock levels.
Widgets / Panels
- Pending Deliveries: Items that are due to be delivered
- Items running out: Items that have a stock level of 2 or less
- Most Used Item: The item that has been used most that month
- Test Kits Portal: Link to the WTP website
Calendar
The calendar shows the outstanding deliveries for the month. The calendar shows:
- QOS number
- Order Quantity
- Product
- Delivery Location
Inventory
Inventory Table
The Inventory table provides an overview of all products including:
- COSHH Hazards: Any hazards associated with the product
- Unit Size: The size of 1 unit
- Unallocated: The amount of stock in storage that has not been allocated to a QOS number
- Total: The total ammount of stock in storage
- Stock Limit: The maximum permisable amount of the product to be in storage
Access to this table is controlled through a permission in the User Management tab.
Use Button
Access to the Use button is restricted by a separate permission from being able to view the table. When the use button is pressed the user is asked to input
- QOS Number: Not required
- Number Used: Required
If a QOS Number is provided and that item has been allocated the allocted stock level will be reduced. If no QOS Number is provided or the item hasn't been allocated the total unallocated ammount will be reduced.
Orders
View and manage orders
Order Table
The order table shows:
- QOS Number
- COSHH
- Unit Size
- Quantity
- Date of Order
- Date of Delivery
- Delivery Location
Delivery Options
The delivery options buttons allow orders to be accepted, partial orders to be noted and orders to be cancelled. When accepting a delivery or logging an exception. The amount will be added to the inventoy and if a QOS number has been allocated automatically allocated the incoming delivery for that stock level.
New Order
Placing an order
When placing a new order the new order tab will open a form. There is a list of inputs on the form these are:
- Product: Select a product from the dropdown
- Unit Size: The amount in one package
- Quantity: The number of cases of the product ordered
- QOS: If a QOS number is allocated to the order upon delivery the stock will automatically be allocated
- Order Date
- Expected Delivery Date
- Delivery Location
This is currently only available to people with the admin permission
Inventory Management
Assign Inventory to QOS
The Assign Inventory to QOS button opens a pop up form. In this form you select the product you wish to assign to a QOS, enter the QOS number and quantity and press the assign button. Once this has been done the inventory is then assigned to that QOS number and the stock is taken out of the unallocated stock count.
Inventory Overview
The inventory overview table displays all the products in the database and shows the quantity in stock that are currently unallocated.
Unused Assigned Inventory
This table shows all the product assignments with unused allocated product
Product Managememt
New Product
The New Product button opens a form to fill out the required information to add the new product to the database. You should fill out all the fields requiring populating and select any COSHH hazards by clicking on the relvant symbol. After this press save to add the product.
Actions
The Edit button reopens the form to create the product. In this you can alter any of the information relating to the product.The Delete button removes the product from the database.
User Management
Create new user
To create a new user press the Create New User button. Then fill out the form that opens. The Username is the Username that will be used when the user logs into the system. To assign permissions you need to hold the ctrl key on the keyboard and click the permissions to assign. Press save to add the user. Once the user has been added a password will pop up in the top of the screen give the new user their username and password and ask them to log in and change the password.
Actions
The Edit button reopens the user creation form and any details in here can be modified. The Delete button deletes the user. The Reset Password button resets the users password. A temporary password will pop up at the top of the screen. Give this password to the user and ask them to log in and change it.
